Why are my hours or rates not showing up on my invoice?
If you create an invoice and find that key information is missing, it may be the result of one of the common scenarios below. We'd recommend deleting the invoice that is incomplete, using the steps below to address the missing information, and then re-creating the invoice.
Missing hours
You may find that your hours are missing when you create an invoice. There are two reasons that hours may not be pulled into your invoice:
- Your Time & Materials project doesn’t have any time tracked to its billable tasks.
- Your project is not a Time & Materials project.
If you’ve tracked time to your Time & Materials project, it’s likely that your project’s tasks are non-billable.
To make your tasks billable for this project:
- Go to the Projects section.
- Click the Actions dropdown for the project in question and select Edit.
- Go to the Tasks section and mark tasks as billable.
- Click Update project to save your changes.
- Go to Invoices > Overview and try to create the invoice for that project again. The hours should now appear on your invoice.
Invoices only pull in billable hours for Time & Materials projects. If you'd like your invoice to show non-billable hours as well, you can add a line item to the invoice and manually enter the information.
Billable hours tracked to Fixed Fee projects aren’t pulled into invoices, because billing for Fixed Fee projects is based on your Project Fees.
To make your project a Time & Materials project:
- Go to the Projects section.
- Click the Actions dropdown for the project in question and select Edit.
- Change the Project type to Time & Materials. Be sure to select one of the Billable rate options and enter your rates.
- Click Update project to save your changes.
- Go to Invoices > Overview and try to create the invoice for that project again. The hours should now appear on your invoice.
Missing rates
You may find that your hours are all present and accounted for, but the rates are missing. If that happens, it’s likely that you didn’t select an Billable rate for your project.
To fix this:
- Go to the Projects section.
- Click the Actions dropdown for the project in question and select Edit.
- Change the Billable rate to one of the rate options.
- Click Update project to save your changes.
- Go to Invoices > Overview and try to create the invoice for that project again. The hours should now appear on your invoice.
