How can I bill my client for both fixed fee and hourly rates on one project?

Projects in Harvest can be set as a Fixed Fee or Time & Materials project type, but it’s not possible to include both types on one project. So, if you need to bill a flat rate amount along with an hourly rate, there are a couple of options:

Create Two Separate Projects

When you’d like to keep track of the number of hours you’re working for the fixed fee portion of your project, you may find it helpful to split your project into two separate projects—one for your team to keep track of the work that goes toward your fee (Fixed Fee) and then one where your team tracks hourly work (Time & Materials) that isn't covered by the fee.

As long as both projects are assigned to the same client, you'll be able to bill for both your fee and the hourly work in the same invoice. When it's time to invoice your client, you’ll be able to select the option to Create an invoice for tracked time, expenses, or fixed fees. You’ll then be able to select both the Fixed Fee and Time & Materials projects to be included on a single invoice.

Enter your Fixed Fee as an Expense

If your project is primarily billed with an hourly rate, and you need to include a one-time fee on your invoice, you can set up one project as a Time & Materials type and then add your one-time fee as an expense to the project. You can find the steps for entering an expense here. When it's time to invoice your client, you’ll be able to select the option to Create an invoice for tracked time, expenses, or fixed fees, which will allow you to combine your project’s tracked hours and your fee (as an expense) onto a single invoice.
