Xero and QuickBooks Online FAQ

Harvest offers integrations with Xero and QuickBooks Online which allow you to copy Harvest invoices and, optionally, payments made to those invoices from Harvest to Xero or QuickBooks Online.

Why don't I see the option to connect to Xero or QuickBooks Online under Settings > Integrations?

You must have the invoices module turned on under Settings > Choose modules in order to connect to Xero or QuickBooks Online. 

Can I copy invoices, payments, or other data from Xero or QuickBooks Online to Harvest? 

The Xero and QuickBooks Online integrations copy data one way only, from Harvest to Xero or QuickBooks Online. 

Do time and expenses from Harvest sync with Xero or QuickBooks Online?

Time and expense entries cannot be directly synced from Harvest to Xero or QuickBooks Online, and are only copied as line items on invoices. The only data that copies from Harvest to Xero or QuickBooks Online are invoices and, optionally, invoice payments. 

Does manually marking an invoice as sent in Harvest copy the invoice over to Xero or QuickBooks Online?

Manually marking an invoice as sent in Harvest will not automatically prompt a copy to Xero or QuickBooks Online. If you won't be sending an invoice directly to your client from Harvest, but you want the invoice to copy to Xero or QuickBooks Online, you'll want to open the invoice and choose Actions > Copy to Xero or Copy to QuickBooks.

Do retainer invoices copy from Harvest to Xero or QuickBooks Online?

No, retainer invoices are not copied to Xero or QuickBooks Online because they are not considered income until the money taken in from that invoice is used to offset a regular invoice. A retainer is normally considered a liability until the work has been completed, and if it were copied to Xero or QuickBooks Online, it would be counted twice and your books would be off.

 

Regular invoices that draw from a retainer will get copied over to Xero or QuickBooks Online. The retainer payments or manually recorded payments on these invoices will get copied over to Xero or QuickBooks Online as well if you've enabled payment copy for your account. 

If an invoice is updated in Harvest, will the updates copy over to Xero or QuickBooks Online?

Any changes made to a Harvest invoice that was already copied over to Xero or QuickBooks Online will not be automatically updated in Xero or QuickBooks Online. You can manually re-copy an updated invoice to Xero or QuickBooks online by opening the invoice in Harvest and selecting Actions > Copy to Xero or Copy to QuickBooks.

If I delete a Harvest invoice (or payment) that was already copied to Xero or QuickBooks Online will it be deleted in Xero or QuickBooks Online?

If you delete a Harvest invoice or payment that was already copied to Xero or QuickBooks Online, the invoice or payment will not be deleted in Xero or QuickBooks Online. You'll need to manually delete the invoice or payment in Xero or QuickBooks Online.
