Organize your projects with tags
Project tags are in the process of being released to all users. If you do not see the feature in your account, you will receive access in the coming weeks.
Project tags let you attach your own labels to projects so you can group, find, and report on related projects your way. Tags are shared across your whole account and can be reused on as many projects as you like.
This article covers how to create tags, apply them to projects, filter your reports by tag, and manage your account's tags.
What project tags are
A tag is a simple, reusable label made up of a name only. A few things to know:
- Tags are account-wide. Once a tag exists, anyone on your account can apply it to projects and filter by it.
- A project can have many tags, and a tag can be applied to many projects.
- Tag names are unique and case-insensitive. 'CapEx' and 'capex' are treated as the same tag, so you won't end up with duplicates.
- Tags are purely for organizing projects.
Create and apply tags to a project
Tags are created and applied right from the project form - there's no separate setup step.
1. Go to Projects and create a new project or open an existing one to edit.
2. Find the Tags field on the project form.
3. To apply an existing tag, start typing and select it from the list.
4. To create a brand-new tag, type the name and press Enter. The tag is created and applied to the project in one step.
5. Save the project.
You can add as many tags as you need. To remove a tag from a project, deselect it in the Tags field and save.
Note: When you duplicate a project, its tags come along with it.
Who can do this: Anyone who can edit a project can apply or remove tags on that project.
Apply or remove tags on many projects at once
If you need to tag several projects together, use bulk actions from Projects > Actions.
A few details:
- Add tags is additive - it only adds tags that a project doesn't already have and skips any it already carries. It never removes existing tags.
- Remove tags only removes the tags from the selected projects. The tags stay in your account and on other projects, so you can re-run Add tags to restore them later.
- You can include up to 50 tags in a single bulk action.
Who can do this: Users with permission to edit projects.
Filter and report by tag
The real power of tags is narrowing your projects and reports down to what matters. When you apply a tag filter, you'll see only the projects that carry any of the tags you selected.
You can filter by tag in:
- The Projects list
- Detailed time report
- Summary / time reports
- Uninvoiced report
- Expense report
- Profitability report
- Approvals overview
- Create-a-report (as a quick filter, on time and expense reports)
When a tag filter is active, matching projects display small tag badges so you can see at a glance which tags matched.
Tags in exports
When you export a report while a tag filter is active, the export includes only the filtered data—so what you download matches what you see on screen. This applies to the Detailed time report, Summary/time reports, Profitability report, Projects list, and Create-a-report exports.
On PDF and summary exports, a Tags line in the filter summary shows exactly which tags were applied (or "All tags" when no filter is set), so the export is self-documenting.
Manage and delete tags
There isn't a separate tag-management page—you manage tags from the Tags field on the project form.
Deleting a tag is account-wide and permanent:
1. Open any project for editing and click into the Tags field.
2. Find the tag in the list and select the × next to it.
3. A confirmation dialog shows how many projects currently use the tag (including archived projects).
4. Confirm to delete.
When you delete a tag, it's removed from every project across your entire account, and this can't be undone. For tags applied to a very large number of projects, the cleanup finishes in the background, but the tag disappears from your lists right away.
Who can do this: Only account administrators can delete tags.
Renaming a tag
Renaming isn't currently supported. To change a tag's name, create a new tag with the name you want, apply it to the relevant projects (bulk Add tags makes this quick), and delete the old tag.
FAQs
Can a project have more than one tag?
Yes. Apply as many tags as you like.
Will I create duplicate tags by accident?
No. Tag names are unique and case-insensitive, so `Retainer` and `retainer` are the same tag.
What happens to my saved filter if a tag it uses gets deleted?
Your filter keeps working and stays narrowed—it won't silently widen to show all projects. Rows for the deleted tag simply no longer match.
