Editing and deleting time entries

Who can edit time entries?

Everyone can edit or delete their own unlocked time. Administrators and Managers with special permission to edit time can also edit other people's time by clicking the Teammates button in the upper right corner of the timesheet.

Administrators can edit anyone's time while Managers can only edit time for projects they manage and/or their assigned people.

What parts of a time entry can be edited?

Any aspect of the time entry can be changed except the person it's associated with. If a time entry needs to be assigned to a different person, the time entry will need to be recreated in the other person's timesheet and deleted from yours.

Can I restore a deleted time entry?

Deleted time entries cannot be restored, so please take care when deleting entries on your timesheet.

Editing unlocked time entries

Time entries can be edited in the web version of Harvest on both the Day and Week view (if Week view is enabled for your account) of a timesheet.

  1. Click the Edit button that appears to the right of the entry.
  2. Make your changes and click Update entry, or click Delete and confirm to permanently delete the entry.

To add or change time for a project/task on a particular day: Click into the field in question and change it. Your timesheet will autosave in a few seconds, or you can manually save it.

To delete a week’s worth of time for a project/task combo: Click the X to the right of the row.

Editing locked time entries

A time entry may be locked because it’s been invoiced or approved, or the project, task, or person related to the entry is archived.

Only Administrators can edit the Notes and Duration or Start/End time on a locked time entry, and they can only do that in the Day view. They can edit or delete locked time by taking the following steps:

  1. In the Day view, click the Lock icon to the right of the entry.
  2. Make your changes to the Notes, Duration, or Start/End time and click Update entry, or click Delete and confirm to permanently delete the entry.

Administrators can’t edit the project/task combination for a locked entry, or edit or delete locked time in the Week view. To unlock individual entries or an entire timesheet for further editing, please see our article on unlocking time and expenses for instructions.
