Recurring time entries
If you track the same work regularly, like a daily stand-up or a weekly client call, you can set a time entry to repeat automatically.
Set up a recurring entry
- In the Day view of your timesheet, start a new time entry and choose the project, task, hours and notes.
- Under Repeat, choose Daily, Weekly, Monthly or Custom. You can also add an end date, and tick Skip non-working days (see below).
- Save.
You can also click New recurring entry from the Recurring panel.
When entries appear
Each entry is added at the start of its scheduled day. Future days stay empty until that day begins.
Days that are skipped
Harvest will not add an entry to a day that already has approved hours or has been invoiced, and will not add one while a timer is running.
If Skip non-working days is ticked, Harvest also skips:
- days with no hours in your work schedule (for example, Fridays if you work Monday to Thursday)
- public holidays on your holiday calendar
- days of approved time off. Pending or declined requests don't count.
For part-day time off: if your company tracks start and end times, the entry is skipped only when the time off overlaps it. If your company tracks duration only, the entry is skipped only when the time off covers your whole scheduled day.
Harvest decides at the start of each day. Time off booked after an entry was added won't remove it, and cancelling time off won't bring back a skipped entry. Add or delete that entry yourself.
A schedule whose days are all non-working (for example, a Saturday entry with the box ticked) never creates any entries. If you tick the box, make sure the repeat pattern includes at least one working day.
Harvest remembers your choice for the next recurring entry you create. To change it for an existing one, edit it from the Recurring panel.
Pause, edit or delete a recurring entry
Open the Recurring panel to see all your recurring entries, and edit, pause, set an end date or delete each one. Deleting stops future entries and also removes the ones already added for today onward that are still editable; entries in an approved or invoiced period are kept.
Can an administrator turn recurring entries off for the account?
Yes. Administrators go to Settings > Preferences > Recurring time entries and set it to Enabled or Disabled. It's enabled by default. When it's off, nobody on the account can set up or manage recurring entries, and existing schedules stop generating new entries. Switch it back on to re-enable it.
