My company’s name, address, or domain has changed. What should I do?

There are a few places in your Harvest account where you may need to change your company’s name and physical address, such as your invoices. You might also need to update your Harvest account’s web address (subdomain) and the email addresses your teammates use to sign in. People with Administrator permissions can make these changes right from your account.

Changing your company name, mailing address, and billing address

How changing your company name and mailing address affects invoices you send your clients

Updating your company's name and mailing address (this is the address in Invoices > Configure > Company info) affects all existing invoices you've already created for clients as well as future invoices. We recommend exporting copies of your past invoices for your records before making any changes here.

From Invoices > Configure, you may also want to check the Default values and Messages tabs for any mentions of your old company name or address.

How changing your company name, billing address, and mailing address affects receipts/invoices we send for your Harvest subscription

The company name may update on all existing receipts/invoices that we have sent you for your Harvest subscription, depending on your billing system version. If your account is on Version 1, company name updates will affect existing receipts/invoices from us; if it's on Version 2; they will not.

In both billing system versions:

  • Company name updates will apply to all new receipts/invoices going forward.
  • Billing address updates (in Settings > Billing) only affect new receipts/invoices going forward, never past receipts/invoices.
  • Mailing address updates (in Invoices > Configure > Company info) do not affect receipts/invoices we send you at all. This address only displays on invoices you create for your clients.

How to change your company name

  1. Head to Settings (top right).
  2. Click into the Preferences tab.
  3. Click Edit preferences
  4. Enter your new company name.
  5. Click Save preferences.

This will also update your company name in Invoices > Configure > Company info and therefore on invoices you create for your clients.

How to change your mailing address on invoices you create for your clients

If your plan supports sending invoices, Administrators can update the mailing address (as well as your company name) on your client invoices by taking the following steps:

  1. Head to Invoices > Configure > Company info.
  2. Update the company address and, if desired, company name.
    • Updating your company name here will also update it in Settings and therefore on receipts/invoices we send for your Harvest subscription (including existing receipts/invoices, if you're on Version 1 of our billing system.)
  3. Click Save company information.

How to change your billing address for your Harvest subscription

This is the address on invoices/receipts we send you for your Harvest subscription and does not appear on invoices you create for your clients.

To update your billing address, go to Settings > Billing, and click Update credit card, Update billing address, or Update payment, depending on your account's billing settings

Changing your Harvest account’s web address (subdomain)

  1. Head to Settings (top right).
  2. Click into the Billing tab.
  3. In the Web address area, click the Update address button.
  4. Enter your new web address.
    • Note: If a web address is not available, your team will need to choose a different address.
  5. Click Save web address.

Note: Changing your Harvest account’s web address will break all links to the old web address, including for existing web invoices, so you’ll want to notify your team and clients of the change before you make it. You'll need to resend open invoices if your clients still need access to the web invoices. 

Changing your team's email addresses

To update the email address a teammate uses to sign in to all of their Harvest and Forecast accounts, have them edit their own Harvest ID.

  1. Head to https://id.getharvest.com/, and sign in if necessary.
  2. Click My Harvest ID at the top of the page.
  3. Enter your new email address.
  4. Click Update email.

To update the email address your teammate uses to sign in to this Harvest account only, have an Administrator edit the person’s email address from their User Profile in the Harvest account.

  1. From Team, click on a person to view their Person Page.
  2. Click Edit profile (upper right corner).
  3. From the user profile, click Basic info (left).
  4. Enter their new email address.
  5. Click Update info.

Note: An email with an invitation to re-join the account will be sent to the person’s new email address. They’ll need to sign out of all Harvest and Forecast accounts before following the steps to accept the invitation.
