Profitability report

The profitability report allows your team to visualize revenue, cost, and profit margin in order to track your company’s performance over time. You can access this report from Reports > Profitability. The profitability report is only visible to Administrators. 

Note:  Profitability reporting is only available on the Harvest Enterprise plan.

How Harvest calculates profitability

Profitability = Revenue - Cost

Profitability for Time & Materials projects

Revenue for Time & Materials projects is defined as the billable amount that results from (billable hours x billable rates) + billable expenses. 

Cost for Time & Materials projects is defined as (time tracked x cost rates) + expenses (billable and nonbillable).

Profitability for Fixed Fee projects

Revenue for Fixed Fee projects is determined by taking the fee* set for the project and dividing it by the number of days included in the start-to-end dates entered for the project. This gives a per-day revenue amount, which is then multiplied by the number of days in the fixed fee project's start-to-end date range that fall within the timeframe being viewed on the profitability report.

Harvest distributes a Fixed Fee project's revenue across the teammates and tasks that tracked time on it, based on either the time each of them tracked in the period you're viewing, or evenly split across each, the choice is yours via a toggle at the top of the tables. This means you can see who and what the fee is paying for, not just the project total.
Any revenue that can't be attributed this way — for example a fee on a project with no time tracked in the period — is shown on its own row directly above the Total, so the numbers still add up and nothing is silently split or dropped.

Cost for Fixed Fee projects is defined as (time tracked x cost rates) + expenses (billable and nonbillable).

*In the case where the invoiced amount for a Fixed Fee project is larger than the fee set for the project we'll use the invoiced amount instead of the project fee amount for the project revenue. 

Viewing the company profit report

The top portion of the profitability report includes a chart that visualizes profit at the company level. The timeframe on the report will default to display the current quarter, but you can adjust the view by using the arrows at the top left or selecting a different period from the timeframe dropdown at the top right. 

 

 

The company-level report will display costs and revenue as a chart with a line graph to visualize profit trends over time. You can get a breakdown of a specific timeframe by hovering over the bars in the chart—from there, you’ll see a tooltip that shows specific numbers for revenue, cost, and profit.

Below the chart, you’ll see a revenue breakdown that shows the split between uninvoiced and invoiced revenue, as well as a cost breakdown for time and expenses. You can also see profit broken down at the company-level absolute profit and the percentage margin. 

Reading the profitability report table 

Below the company profit report is a table with information organized into four tabs: Clients, Projects, Team, and Tasks.

A few notes on the report:

  • If time rounding is turned on, all hours will be rounded according to your settings.
  • All tabs will only display the clients, projects, teammates, or tasks with time tracked during the timeframe you’re viewing on the company-level report above.
  • Fixed Fee projects are included on every tab, including Team and Tasks.

Clients tab

The clients tab shows the revenue, cost, profit, and profit margin by client for the time period selected on the report. Clicking a client name will drill down further into that client’s projects for that same time period. 

Projects tab

The projects tab will display the revenue, cost, profit, and profit margin by project for the time period selected on the report.

Selecting a project from the Projects tab lets you view the Tasks and Teammates associated with it in that timeframe. This works for both Time & Materials and Fixed Fee projects.

Team tab 

For Time & Materials projects, the team tab will display the revenue, cost, profit, and profit margin by teammate for the time period selected on the report.

Fixed Fee projects are included. Each teammate's (or task's) share of the fee is shown alongside their cost, profit, and profit margin, with anything unattributed on the row above the Total.

Tasks tab

For Time & Materials projects, the tasks tab will display the revenue, cost, profit, and profit margin by task for the time period selected on the report.

Fixed Fee projects are included. Each teammate's (or task's) share of the fee is shown alongside their cost, profit, and profit margin, with anything unattributed on the row above the Total.

Exporting the profitability report

From the Export dropdown next to the table, you can export the log to Excel or CSV. The exported report includes columns for: 

  • Name (of clients, projects, tasks, or teammates, depending on which tab you export from)
  • Revenue
  • Cost
  • Profit

Saving a profitability report

If your plan supports saved and shared reports, and you'd like to save, share, and/or make this report recur on a set timeframe, use the Save report button. You can access your saved reports from Reports > Saved reports.
