Creating and managing notes

Harvest's notes feature allows you to add context to your time entries; they are your vehicle for communicating how your time was spent, beyond just the project and task assignments. 

Notes can be created across all three time tracking views in Harvest: Day, Week and Calendar. When tracking across multiple views, notes are accessible in each view, regardless of which view you used to create the original time entry.

Creating notes in Day & Calendar views

Creating a time entry in the Day and Calendar views is a nearly identical process. An entry modal prompts you to assign a project and task, input your hours worked and attach notes. When the time entry is saved, notes are visible below the project and task assigned to the entry. If you wish to edit these notes, you can do so by re-opening the time entry, adjusting your notes and saving the changes.

Creating notes in Week view

Week view notes work slightly differently to Day and Calendar view notes. When time is added to a field in the Week view, a notes icon will appear on the left hand side of the field. To attach notes to an entry, click on this icon and a modal will appear to add and save notes. 

In addition to this, next to the project and task assignment of each row in the Week view, there is an identical notes icon. If this icon is clicked, a modal is opened which shows all notes entries for that project and task combination. This allows you to have a central place to amend all notes for the week. 

If you have tracked time in either the Day or Calendar view, but not in the Week view, you will not see a notes icon in the time entry field. This is because, for each time entry, notes only relate to time added in the Week view. Hence, if you add additional hours from Week view the notes icon will appear, otherwise there will be no icon. For the notes summary, however, all notes for the week are displayed, including those created in Day and Calendar views.

Required notes

If an admin has enabled required notes for your Harvest account, time entries cannot be saved without notes. 

In the Day and Calendar views, this means that you will be blocked from saving an entry, unless the notes field is populated. 

As for the Week view, when time is added a notes modal will open next to the time entry. If you close the modal without saving notes, the time entry will also not be saved. Therefore, if you input time and do not add accompanying notes, the time entry will be deleted.
